PRIMARY PURPOSE:

The primary duty of the Intramural Sports and Clubs Coordinator is to direct, organize, supervise, and evaluate all aspects of both the intramural sport programs and clubs for students, faculty and staff.


  • Lead, coordinate, oversee, and assess all intramural programs with a focus on expansion, quality improvement, and broad student engagement.
  • Proactively recruit, train, and support student coordinator(s) and referee staff to foster a vibrant and inclusive intramural community.
  • Manage the intramural budget, including equipment purchases, maintenance, and strategic investments that support growth and accessibility.
  • Collaborate with the student support team to design, procure, and distribute championship awards and other incentives that drive participation.
  • Develop, update, and implement the intramural manual of operations to ensure clarity, consistency, and mission alignment.
  • Strategically market intramural programs in collaboration with the marketing team to maximize awareness and increase student sign-ups.
  • Regularly assess student interests and feedback to launch new intramural offerings and refine existing ones.
  • Schedule and coordinate intramural activities, including booking facilities.
  • Provide a diverse and expanding range of intramural offerings to meet the recreational and community-building needs of the entire student body.
  • Maintain accurate records related to participation, team rosters, and equipment inventory to support evaluation and reporting.
  • Establish and manage an online platform for easy registration, communication, and schedule management in partnership marketing and internal communications (my.avemaria.edu).
  • Actively attend and oversee intramural events to foster community, provide support, and ensure smooth operations.
  • Champion a culture of good sportsmanship, joyful community, and Catholic virtue across all intramural activities.

  • Assisting students who wish to start new clubs in the proper processes
  • Organizing a Fall and a Spring Activities Fair where all student organizations can be visible to incoming and returning students
  • Overseeing and managing all current clubs
  • Ensuring they have all their documentation in at the start of the year
  • Meeting with club leadership at least twice per academic year, preferably at the end of each semester
  • Assisting them in transitions of leadership and when needed for event planning
  • Approving and overseeing their budget and spending, as well as tracking their spending alongside them
  • Relationally ministering to each group and providing encouragement, excitement, and joy for their distinct areas of interest.
  • Approving and printing posters sent by the clubs to be hung around campus
  • Documenting club leadership, as well as semesterly rosters of each club
  • Connecting student club leadership with other departments and organizations on campus on appropriate events and ministries
  • Instructing club advisors on their oversight of club activities
  • Occasionally attending events in support of the student clubs
  • Keeping the Ave Maria and My.Ave websites up to date with student club information

EDUCATION: Bachelor’s Degree

EXPERIENCE: Previous supervisory experience in a sports/recreation setting or relevant management experience.

KNOWLEDGE, SKILLS, AND ABILITIES: Excellent verbal and written communications skills,

Highly organized with knowledge of programming and administering intramurals and club sports necessary. Knowledge of Microsoft word, excel spreadsheets and scheduling software and website management preferred. The successful candidate will be a team- player and must support the University’s Catholic mission.

PHYSICAL SKILLS AND ABILITIES: Requires ordinary ambulatory skills sufficient to visit other locations; the ability to stand, walk and manipulate (lift, carry, move) a minimum of 50 pounds. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, type and perform data entry, visual acuity to use a keyboard, operate equipment and read technical information, ability to hear in order to answer telephones and to communicate verbally, and the ability to work in the mornings and evenings based on the facility schedule.

WORKING CONDITIONS: Work is performed indoors and outdoors and requires seated, standing, and movement work.
